What Does the Childminding Excel Workbook Include?
The workbook is organised around the main records a childminding or childcare business may need to maintain.

Lesson 1 – Building the Foundations of the Childminding Workbook.

We look at how to create separate worksheets for different types of records and why mixing everything into one large worksheet can make a workbook difficult to maintain.
We also introduce Excel Tables.
Tables provide a structured way to store business records and make it much easier to add new children, parents, payments or attendance records automatically as the business grows.
We also look at the use of drop-down lists to improve consistency.If one person enters a room as “Toddlers”, another enters “Toddler Room” and someone else enters “Tods”, Excel sees three different values. A drop-down list helps prevent that problem by controlling the choices available.We also show how to build proper dropdown lists, so when you add new clients etc , the dropdown lists automatically update. This is done by using named ranges and linking them to table column structures. So important, when building practical durable spreadsheet solutions in real life.
Another important concept introduced in this lesson is the use of ID codes. Rather than relying entirely on names, unique IDs provide a more reliable way of connecting records across a workbook. This foundation becomes increasingly important as we start linking the worksheets together.

Lesson 2 – Creating a Child Enquiry Screen with XLOOKUP.
Once the underlying records are organised, we can make them much easier to use. In Lesson 2, we build an Enquiry Screen that allows staff to find information about an individual child without manually searching through several worksheets. This introduces one of the most useful modern Excel functions:
XLOOKUP.
Instead of scrolling through hundreds of records, the user selects or enters a child and Excel retrieves the relevant information automatically. We explain how XLOOKUP works and how to build it for these situations.
At its core, XLOOKUP asks Excel to:
- Find a particular value.
- Search for it in a specified column.
- Return the corresponding information from another column.
Once you understand that principle, XLOOKUP can be used for far more than a childcare spreadsheet. The same technique can be applied to customer records, employee records, stock systems, membership databases, job trackers and many other business spreadsheets.This lesson demonstrates an important progression in spreadsheet design. We are no longer just storing data. We are building a simple interface that makes the data easier to retrieve.
Lesson 3 Child Minding Spreadsheets:– Using SUMIFS, COUNTIFS and IF to Analyse Payments.
Recording payments is useful. Knowing what those payment records actually mean is far more useful. In Lesson 3, we use Excel formulas to analyse the payment information stored in the workbook. We introduce SUMIFS to calculate how much has been paid for an individual child. SUMIFS is one of Excel’s major business functions because it allows us to add values only when specified conditions are met.
We then use COUNTIFS to count payment records that meet our criteria. This demonstrates an important distinction:
SUMIFS adds values. COUNTIFS counts records.
Finally, we use the IF function to turn those calculations into information that is easier for staff to understand. For example, rather than forcing the user to interpret payment figures manually, Excel can determine a payment status such as:
- No Payment
- Deposit Required
- Part Paid
- Paid in Full
This is where individual Excel functions become much more powerful. SUMIFS performs one job. COUNTIFS performs another. IF makes a decision. Put them together and Excel starts answering useful business questions.
Lesson 4 – Building a Practical Childminding Dashboard
The final stage is to take the information already stored and calculated in the workbook and turn it into a useful overview.
In Lesson 4, we build an Excel dashboard for the childminding business. A dashboard should not simply contain attractive charts.
Its real purpose is to take important information from different parts of a workbook and present it in a form that can be understood quickly. We demonstrate how the workbook can provide useful management information without requiring someone to manually analyse the underlying records every time. This lesson brings together many of the ideas developed throughout the series.
